Scheduler

It schedules emails or exportation with statistics and alerts. You can receive statistics or alerts on your email address, for example if a decided budget is reached or if premium high cost numbers are dialled.

In order to enable the scheduler, it is firstly necessary to configure the Billy Blue's Scheduler, a Billy Blue's module that schedules events. If this module has not been activated on the software first start, it can still be enabled from the Tool menu, in the Options command.

Select ‘activate statistics and alerts by email’ and set a mail account. If you already have a valid Outlook or Outlook Express account, the software will offer it as a choice. Otherwise, simply add a customised account:

Specify a name, email address as sender and the mail server or IP address (SMTP type).

The 'Activate mail server authentication’ option is necessary should the mail server require a user name and password before sending emails.

Blue's Scheduler is recommended to be activated onto a pc that can be likely kept on all times, in order to allow Blue’s network users to access this service. It is also recommended to activate Blue’s Scheduler on the same pc used for data importation.

Once configured and activated, Blue's Scheduler options are available on any network pc that installs Billy Blue's (client or full version). Click Add on the upper bar to create a new scheduled event.

Select the scheduled event type, statistic or alarm, and type in a name for it and click Next.

Select the statistic or alert to schedule and click Next. New alert creation is explained in the next pages.

In case of a Statistic, on the page that is displayed you can change the parameters that are usually displayed in the Statistic area, eg the date and extension choice for the calculation.

Choose whether to email the result to one ore more email addresses or export it into a specified folder.

In case of Alert, you can choose the ‘send only if something must be notified’ option in order to receive the email alert only if the scheduled event turns positive, eg the email is sent only if a defined budget is reached, etc.

As a last setting, the start date and time of the event and its recurrence will be requested. For example, you can choose every 2 seconds, minutes, hours or days, or days of the week, Mondays and Fridays and so on...

Click end and wait the software sets Billy Blue's Scheduler with the new scheduled event and that the event is displayed in the list.

In case of statistic, a special window will display a state bar.

Directly schedule from the Statistics and Alerts:

Both the Statistics and Alerts area displays the Schedule option on the upper bar. This option schedules the selected statistic or alert

Alerts:

Each alert is a made up of one or more check-ups performed on the call archive. The check-ups are grouped by type. Each check-up requests certain values: eg activating a check-up on outgoing calls made outside the working hours will request the working hours to be setup.

Click Add to create a new alert.

Each alarm has a name, a description, a time period for considering the calls (eg today, this hour, and so on) and another filter similar to that used in the statistics or in the table filters. The filter is useful for example if, in the extension alerts, a check-up finds out those spending more than 20£. In this case the period could be set to ‘this month’ and the filter could be set to ‘purchase department’, in order to perform the check-up only to the extensions belonging to that department.


Click save to confirm the modifications.

Hereunder is a description of the configuration:

As a last step after creating the Budget alert, you should create a scheduled event. Click Schedule and choose to send by email, selecting ‘send only if something must be notified’. Set the scheduling to be performed every hour.

It is important to distinguish the time interval decided in the alert and that of the recurrence that is set in the scheduling. The first indicates the calls date and time interval that must be considered, the second one indicates when to run check-up.

The Run Now button is usually used to make sure the alert is working properly as it immediately displays the results in a web page (eg. Internet Explorer).
