Company Data: Extensions

Extensions:

Tool for the creation and management of company extensions. Associates each extension to a department or cost centre.

The company extension list is automatically written by the software during call importation. It is therefore recommended to organise the extension list after a few days of normal operation, in order to have a complete list of the extensions.

Creating a department or a call centre is easy: from the tree structure on the left, just with your mouse right button on Departments and select new department.

Type in the name of the new department and hit the enter key. Click ‘All extensions’ from the tree structure and select the extensions to move to the new department by clicking the tick box of each extension.

Click Move  on the upper bar and select the destination department.

The same procedure can be carried out for cost centres.

Import extensions

BillyBlues includes a tool to import users from xls/csv files, so you can import users from the Stonevoice Application Suite or Active Directory.

The file to import must include the headers in the first row as in the provided sample.

To access the Import tool, click on the Import button:

These are the steps to import users from a xls/csv file:

Select the file format: CSV/XLS

Select file details:

      1. CSV:
        • Column separator, default: semicolon
        • Text delimiter, default: double quotation mark
      2. XLS:
        • optional : sheet name configuration, default: first available sheet

    • Selecting “Delete Existing Data” all existing users will be deleted, default: not selected

Execute import and see report

    • Updated rows
    • Inserted rows
    • Errors

Imported fields are:

    • Username:must be unique
    • Password:not used, may be empty
    • First Name:
    • Last Name:
    • Extension:
    • CostCenter:may be empty
    • Department:may be empty

New

Adds new extension.


Fill in all fields for the new extension.

The ‘Cost Mark-up’ is the percentage to add to the final cost of each call. The ‘Privacy’ field indicates the of figures of the telephone number to replace with star characters. The ‘hourly cost’ is used for the Employee cost statistic that shows not only the call cost of that extension, but also the real cost of that employee for the company calculated on the time spent on the phone.

 

Delete

Deletes an extension.

 

Move

Associate the extension to different department or cost centre.

 

Privacy

Specifies the figures of the phone number to be replaced with stars in the call table.

 

Cost mark-up

Sets a percentage mark-up for the call costs

 

Hourly cost

Sets the employee cost of the time spent on the phone

 

Recalculate

Recalculates and associates call data (eg. Call cost, names, department and cost centre). This feature must be run after important modification to the extension list in order to update the database with the new information. This feature asks for a start and an end date for the data association. The recalculation also permits to set new names for the extensions and to apply the changes only starting from a certain date.
